Getting Started

Create your profile Add your display name and email. This name appears in event activity and settlement records.
Set payout details (recommended) Add at least one payment method per currency you commonly use (UPI for INR, bank transfer for USD, etc.).
Invite participants You can invite by user (in-app) or by email (useful when the other person hasn’t installed Traxettle).
Track and settle Add expenses, generate a settlement, and record payments with reference IDs and optional proof uploads.

Events

What is an Event?

An event is a shared context for expenses and who owes whom (e.g. a trip, roommate month, wedding planning, team offsite). Every expense and settlement record lives inside an event.

  • Use case: Trip with friends Create an event for the trip, record shared costs (food, tickets, hotels), then generate a settlement at the end.
  • Use case: Multi-currency spending Track expenses across currencies and settle in a chosen settlement currency at event creation time.

Split types

Add an expense with payer, amount, currency, and who participated. Traxettle calculates each member’s share and updates balances.

Tip: If a participant is invited by email and hasn’t accepted yet, they can still receive email updates about the event.

Settlements

What is a Settlement?

A settlement is a set of payment legs like “User B pays User A INR 1,250”. Each leg can be marked paid by the payer and confirmed by the payee.

  • Generate settlement Once expenses are added, generate settlement to compute who owes whom in the settlement currency.
  • Per-leg confirmation Every leg must be confirmed by the payee before the event can be marked fully settled.

How Payments Work (Out of App)

Pay externally, record inside Traxettle

Traxettle is designed to work even without an in-app payment gateway. You send money using your preferred method (UPI, bank transfer, PayPal, Wise, etc.), then record the payment in the settlement leg.

  • Step 1: View payee’s payout details Open the settlement leg to see the payee’s saved payout details for the settlement currency (with copy buttons).
  • Step 2: Pay outside the app Use the copied details to complete the transfer in your banking app or payment provider.
  • Step 3: Mark as paid Return to Traxettle and mark the leg paid with a reference ID and optional proof.
  • Step 4: Payee confirms The payee confirms once money is received. This locks the leg and contributes toward “event settled”.

Proof and Reference IDs

Why reference IDs?

A reference ID (e.g. UTR, bank reference, PayPal transaction id) makes verification easy and reduces disputes. Proof uploads can be used when needed, but can remain optional depending on the event’s norms.

Best practice: Always include a reference ID. Upload proof only when the payee asks for it or when you want a stronger audit trail.

Audit Timeline

Every settlement leg has an activity trail

Traxettle keeps a timeline of key actions (settlement generated, payment marked paid, payee confirmed, admin overrides if any). This helps users understand what happened and when.

Payment Methods (Payout Details)

What it is

This section stores the details people need to pay you externally. It is not a stored card or gateway token. You can add multiple methods, one per currency, and disable methods you don’t want to show anymore.

  • Examples INR: UPI ID, bank account + IFSC. USD/EUR: bank transfer details, Wise tag, PayPal email, SWIFT instructions.
  • Shown to payers During settlement, the payer sees your enabled method matching the settlement currency.

Notifications

Email notifications

When enabled, Traxettle emails event updates (expense changes, settlement actions, confirmations). If you disable notifications in your profile, Traxettle stops sending these emails to your account email.

Invited-by-email users who haven’t accepted yet will still receive event emails, so they stay in the loop even without the app.

  • Does Traxettle move money for me? No. Payments are made via your bank/payment app. Traxettle records and confirms them with an audit trail.
  • What if someone doesn’t have Traxettle? Invite them by email. They can keep receiving event notifications and view on web until they install and accept.
  • Is data encrypted in transit? Traxettle uses HTTPS/TLS for network traffic. Email delivery uses SMTP with TLS where supported by your provider.
